Start with the account, the contact, and the audience
Before writing, know which account the message will come from, who it is for, and which teammates can see it. A workspace administrator’s role should not automatically unlock a teammate’s private mailbox.
The customer profile is the useful starting point: contact details, relevant notes, previous outreach, and an active opportunity. Keep the owner of the relationship visible, even when several people collaborate.
- Confirm the recipient details on the current contact record.
- Choose a sender account that you are authorized to use.
- Treat message sharing and template sharing as separate permissions.
Keep preparation separate from delivery
Writing a message is progress, but it is not customer contact. A saved draft should stay a draft until someone reviews and sends it. A provider accepting a message is another distinct event; it does not necessarily prove delivery or a reply.
This distinction matters in reporting. Counting drafts as sent messages inflates outreach. Counting an attempted call as a conversation can make a lead look more engaged than it is. Keep the evidence behind each label clear.
Personalize the message, then review it
Templates make recurring conversations easier, especially introductions, proposal follow-ups, and appointment reminders. Personalization should resolve to real details rather than leaving tokens in the message.
Preview the result for the selected contact. If a company name is missing, choose wording that does not need it or update the record after verifying the information. A template is a starting point; the final wording still needs to fit the conversation.
What Relavoy supports today
The development preview supports email and SMS templates, recipient-aware previews, and private saved drafts on contact profiles. Drafts can be reopened, edited, and deleted. They do not change lead qualification or count as completed outreach.
The receiving-message foundation stores replies, applies mailbox and contact permissions, and supports verified Telnyx webhooks. Gmail has a private, manual receiving pilot for configured environments; Microsoft mailbox sync remains pending. Live account setup and end-to-end delivery remain unverified. Outgoing messages, automatic mailbox synchronization, delivery receipts, and phone provisioning are not available in the current preview.
